Summary

This position serves as an integral member of the leadership team for Gifts & Records ensuring all gifts are processed and receipts are mailed in a timely manner while providing expertise in documentation, communication, data integrity, and program management.

  • Document operational policies and procedures, systems, and principles in the areas of gift processing and record management, partnering with Advancement departments to assess and record how these processes impact Advancement.
  • Assist in the compilation and management of gift and non-gift batches that are created by the Deposit Specialist to ensure all tasks are covered to meet all monthly, annual and project deadlines.
  • Serve as the primary trainer, curriculum and content developer, and training coordinator for the Constituent Relationship Management database (CRM) and associated tools, applications, processes and procedures and product enhancements.
  • Review current Gifts and Records team processes and work to define processes, establish business rules, and identify areas for short-term efficiency improvements and partner with data teams to implement improvements.
  • Communicate all operating policies and/or issues at department or other Advancement meetings.
  • Demonstrate initiative to generate data improvements and foster positive outcomes.
  • Responsible for keeping staff updated on data usage and updates.
  • Responsible for managing employees including, but not limited to recruitment and hiring; training; certifying time and attendance; performance management including performance appraisals, goal setting and performance action plans.
  • Serve as subject-matter expert in multiple functions of Gifts and Records, with an emphasis on documentation, communication, data integrity, and program management.
  • Serve as a key resource to Gifts & Records to work strategically to develop information solutions for business needs.
  • Research industry trends, including conducting peer reviews, reviewing new technologies, attending meetings and making strategic recommendations to the organization for improved processes, data capture, and/or efficiencies.
  • Ensure compliance with industry standards for gift recording, reporting and handling of confidential data.

Education and Experience

Bachelor’s degree in an appropriate area of specialization; or an equivalent combination of education and experience.

This position does have supervisory responsibility.
