Lead Analyst, Gifts & Records

Summary

Under general supervision, this position will be responsible for the maintenance and management of organizational data assets to include, but not limited to collecting and receiving data from disparate sources, maintaining and managing data in the donor database, auditing the integrity of that data to ensure completeness and accuracy based on downstream data systems, and researching discrepancies.

  • Provide quality assurance through regular, ongoing maintenance and updates of constituent and fund data.
  • Responsible for running audits reports and data hygiene.
  • Responsible for producing, reviewing, and reconciling against control reports.
  • Oversee the recurring charge database in CyberSource by creating, modifying or cancelling subscriptions.
  • Coordination and use of reporting tools and data store to assess, report, and migrate gift data from outside sources.
  • Ensure gift designations are coded to the correct fund/program, so they are used as the donor intends.
  • Ensure the accurate booking of all alumni memberships and payments. These include annual and life (single, joint or group) and one or more affiliated memberships.
  • Maintain the continuity of membership’s start and stop dates through the convert/upgrade process using Microsoft Access.
  • Enhance the Constituent Relationship Management database (CRM) through ongoing cleansing of data helping to ensure entries are free of duplicates, contact records have current and accurate information, and enhance additional key data.
  • Possess comprehensive knowledge of subject matter, including accounting principles, IRS regulations, and CASE Reporting Standards & Management Guidelines.
  • Provide leadership through coaching, and/or mentoring to a Gifts and Records Processors and Analysts.
  • Execute best practices in Gifts and Records, office systems, practices, files and record keeping; and effective use of all resources and tools.
  • Respond to inquiries received from donors, Advancement, and the University.
  • Ensure compliance with industry standards for gift recording, reporting and handling of confidential data.

Education and Experience

High school diploma or equivalent and two years of relevant experience.
