Manager, Gifts & Records

Summary

This position serves as an integral member of the leadership team for Gifts & Records responsible for the management and maintenance of credit card charges and refunds, training, data analysis, alumni membership, data integrity, and/or biographical requests.

  • Develop and run quality reports and statistics to monitor data integrity, database changes, address accuracy, and interrelationships of data.
  • Analyze statistics related to data quality metrics, including completeness, validity, consistency, and integrity and make recommendations for improvement.
  • Process all modifications to memberships as requested by Alumni Relations & Annual Giving, President’s Council, and/or Accounting. This includes credits for credit card charges or checks returned by our bank.
  • Oversee the day-to-day biographical responsibilities of Gifts and Records, such as processing updates from Alumni Relations & Annual Giving, obituaries, and the bio mailboxes utilized by fellow staff members, donors and alumni.
  • Preserve the data integrity of constituent and gift information.
  • Coordinate with UF Alumni Association regarding the troubleshooting of membership processing, the approval of new membership solicitations and the maintenance of up-to-date business rules.
  • Responsible for managing employees including, but not limited to recruitment and hiring; training; certifying time and attendance; performance management including performance appraisals, goal setting and performance action plans.
  • Serve as liaison for college/units and for alumni and friends with issues and questions about their donor records.
  • Disseminate information to Gifts and Records team and serve as a unit resource for databases, websites, word processing, reporting, policies, and procedures.
  • Ensure compliance with industry standards for gift recording, reporting and handling of confidential data.

Education and Experience

Bachelor’s degree in an appropriate area of specialization and two years of relevant experience; or an equivalent combination of education and experience.

This position does have supervisory responsibility.
