Summary

UF Advancement Classification*

Under general supervision, this position will be responsible for independent judgment, critical thinking and communication with colleges/units to ensure timely and accurate processing of gifts and biographical records in UF Advancement’s donor database.

  • Analyze gift, non-gift, and quid pro quo transactions given through various giving vehicles including online giving, mail solicitations, gifts-in-kind; payroll deduction; event registrations; securities; realized estates and pledges.
  • Decide appropriate transaction, purpose and receipting codes for gifts while maintaining all monthly, annual and project deadlines.
  • Review and communicate with colleges/units on transactions that have been red-flagged with processing questions.
  • Research money received without proper documentation to ensure proper handling.
  • Preserve the data hygiene of the donor database by verifying and updating biographical/entity information per gift batches, alumni memberships, Annual Giving, emails, unit requests, Phonathon reports, obituary registries, data services and special projects.
  • Create new entities, both individual and corporate, within the Advance Database.
  • Assist with the processing of gift and pledge reversals/corrections.
  • Identify pledge problems/reconciliation with database management policies and procedures and provide input into their revision.
  • Audit and mail IRS tax receipts to donors.
  • Research donor information to accurately update biographical records and avoid creating duplicate records by utilizing LexisNexis and other online tools.
  • Perform ongoing data and process audits to ensure data integrity is maintained.
  • Execute best practices in Gifts and Records, office systems, files and record keeping, and effective use of all resources and tools.
  • Provide coverage of shifts in PCI-compliant secure room; this includes opening and processing of mail and verifying data on cash, checks, credit cards and back-up.
  • Maintain security of donor and payment information and methods.
  • Respond to inquiries received from donors, Advancement, and the University.
  • Ensure compliance with industry standards for gift recording, reporting and handling of confidential data.

Education and Experience

High school diploma or equivalent and one year of relevant experience.
