Summary

UF Advancement Classification*

This position will be responsible for managing day to day operations for gift and biographical management.  This is a highly visible and responsible position that provides independent judgment, critical thinking and operational decisions for all activities and initiatives aligned with the strategic plan, while providing oversight and management responsibility.

  • Compile, analyze and manage all gift and non-gift batches that are created by the Deposit Specialist to ensure all tasks are covered to meet all monthly, annual and project deadlines.
  • Manage the processing of payroll deductions, gifts-in-kind, reversals/corrections, Gator Booster gifts, Division Sponsored Research gifts, pledges, batching of on-line credit entries, alumni dues, corporate matching gifts, acknowledgements, and VSE-related entries.
  • Lead and execute daily gift, non-gift and gift acknowledgement proofs for Gifts and Records; oversee the provision of administrative services and the resolution of problems and inquiries.
  • Partner with Legal and Office of Estate & Gift Planning to process gift agreements and pledges according to donors’ wishes and Foundation policy.
  • Compile data, conduct research, perform independent analysis, and formulate recommendations on administrative matters.
  • Disseminate information to Gifts and Records team and serve as a unit resource for databases, websites, word processing, reporting, policies, and procedures.
  • Maintain independent decision making and discretion when evaluating processes and procedures, making recommendations and adjustments as needed in coordination with the Director and the Strategic Plan.
  • Responsible for managing employees including, but not limited to recruitment and hiring; training; certifying time and attendance; performance management including performance appraisals, goal setting and performance action plans.
  • Serve as the unit contact and liaison for inquiries from donors, UFA and UF staff.
  • Serve as liaison to colleges/units, maintaining the utmost customer service.
  • Propose and ensure adherence to policies and procedures for gift processing, donor records and IRS tax guidelines.
  • Ensure staff is compliant with policies and procedures and that standards are met.

Education and Experience

Master’s degree in an appropriate area of specialization and two years relevant experience in gift processing or related field; or a bachelor’s degree in an appropriate area of specialization and four years of relevant experience in gift processing or related field.

This position does have supervisory responsibility.
