Executive Events Director

Summary

Responsible for overseeing and managing all aspects of executive events and meetings. This role involves strategic planning, coordination, and execution of various events, conferences, seminars, workshops, and other gatherings that serve the university’s objectives and goals. Organize and conduct meetings with employees and university officials for the planning, development, and direction of events.

Examples of Work

  • Plan, develop, and direct executive level events.
  • Oversee logistics of executive level events including venue, design, catering, invitations, speakers, audio/visual, photography, and security.
  • Oversee the creation of event materials and ensure that event messaging aligns with university mission and goals.
  • Negotiate contracts with vendors and serve as their primary point of contact.
  • Collaborate with internal stakeholders, executives, board members, and external partners to ensure events are aligned with the university’s objectives and that communication is clear and effective.
  • Manage a team of event planners and support staff through training, assigning tasks, providing guidance, and fostering a collaborative work environment.
  • Create and manage event budgets, including allocating funds for venue rentals, catering, marketing, entertainment, and other expenses.
  • Identify potential risks and develop contingency plans to address any unforeseen issues that may arise during events.
  • Evaluate event performance and make necessary improvements for future events.

Education and Experience

Master’s degree in an appropriate area and two years of relevant experience; or a bachelor’s degree in an appropriate area and four years of relevant experience.
