Procurement Support Specialist III

Summary

This supervisory position oversees the Procurement Support Specialist team, ensuring high-quality service delivery in the Procure-to-Pay Helpdesk environment. Responsible for team leadership, workload management, process improvement, and acting as the liaison between Procurement operations and University departments.

Customer Service

  • Oversee Helpdesk operations to ensure timely and effective resolution of inquiries.
  • Provide advanced consultation to departments on procurement and payables processes.

Issue Resolution

  • Serve as the primary escalation point for unresolved or systemic issues.
  • Coordinate with functional areas (Accounts Payable, Procurement, Travel, and Card Services) to streamline processes.

Outreach

  • Represent the Procurement Support function in meetings, committees, and cross-functional initiatives.
  • Develop and deliver communication strategies for policy or process changes.

Analyze and Review

  • Develop and implement performance metrics, service-level agreements (SLAs), and customer satisfaction measures.
  • Lead projects related to system upgrades, policy changes, and continuous improvement initiatives.

Supervision

  • Supervise, train, and evaluate Procurement Support Specialists.
  • Manage workload distribution and ensure appropriate staff coverage for Helpdesk operations.

Other

  • Perform any other duties as assigned to support the overall objectives of the Procurement team.

Education and Experience

Bachelor’s degree and four (4) years’ experience; or an equivalent combination of education and experience.

Supervision

This position does have supervisory responsibility. Position will supervise – Procurement Assistants and Procurement Support Specialists I and II.
